An exciting opportunity has arisen to join our Fleet team at Weston Homes Plc in the role of Fleet Administrator. Joining an existing team of 2, you will be responsible for providing proactive and effective administrative support to the Fleet department.

This role will be responsible but not limited to the following:

  • Provide full administration support

  • Maintain effective filing systems for all areas

  • Co-ordinate on a day to day basis the Company drivers

  • Open and distribute incoming post

  • Answer all incoming calls to Fleet Department

  • Organise Keys for following days vehicle work

  • Update Mileages from Fuel Report Monthly

  • Administrate and be responsible for Licence Bureau

  • Arrange and coordinate meetings, hotel and event bookings

  • Manage expenses

  • Take minutes of meetings as required

  • Prepare accurate and timely reports

  • Assist in preparation of monthly board packs

  • Organise booking of car repairs

  • Maintain effective filing systems for all areas

  • Provide cover for other members in the team when required to including but not limited to:

    • Maintain accurate records of vehicle changes, fines, vehicle tax, accidents and maintenance cycles

    • Organise company use of pool cars on a daily basis

    • Maintain ordering of Fuel Cards/PINS

    • Provide Dart Tag use to all Company Cars

    • Maintain an accurate log of all new, existing and pool cars

The successful candidate will have previous experience as a Fleet or Vehicle Administrator or have a passion/ interest for motor vehicles as well a Full UK Driving Licence and must be confident to drive fleet vehicles when required. In addition to the following:

  • Competent use of key software: Gmail, Google drive & Google Apps

  • Proactive (using initiative to identify, seek & resolve tasks)

  • Teamwork (effective delivery of tasks for a wide range of people)

  • Excellent organisation & prioritisation skills (completion of tasks to deadline & schedule)

  • High level of attention to detail

  • Excellent time management skills
